CCC Annual Timeline
The Board may act without a meeting only with the signed written/email consent of every Director of the Club. There must be (at least) four member meetings each year, and (at least) four board meetings each year.
Timeline
For all voting periods:
- Prior to any vote the Board must vote and agree on 15-day voting window
- 15 days prior to vote, notification must go on the website, to include voting period, the issue at hand, and the voting mechanism
- Voting periods last 15 days
January Budget/Board #1 Meeting
- After the December meeting, send out the prior year’s budget for officer review/input.
- In mid-December, set date for budget/board meeting by early January (dates for meeting must be announced on website).
- In mid-December, set date for voting window on the budget (February 15-30 is a good period).
- Budget/Board Meeting by early January.
- Preferably by January 1, announce voting dates for the budget (ex: February 15-February 30) (at latest by March 1)
- Preferably by January 15, finalize Budget (at latest, by end of February)
- Preferably on January 15, Voting on Budget starts (at latest by March 15). Send reminder.
- Preferably by January 30, Voting on Budget ends (at latest by March 30)
There is usually a second Board meeting to finalize the budget
Spring Board #2 Meeting (must be completed mid-March to mid-June)
- ~March 1, board members vote on dates for meeting
- 10 days prior to Board meeting, Secretary-Treasurer sends notice and agenda to Board members.
Spring Member #1 Meeting (must be completed mid-March to mid-June)
- ~March 1, board members vote on dates for member meeting
- 15 days prior to member meeting, president adds date/time to website
- Electronic meeting
Week of Rivers Member #2 Meeting
(when July 4th falls on a Saturday, WOR starts on the preceding Saturday (June 27th). When July 4th falls on a Sunday, Week of Rivers will start on Saturday, July 3rd):
- 15 days prior to WOR, date for Member Meeting must be announced on website
- At WOR, Officer Meeting
- At WOR, at least one member appointed to nominating committee. All three members must be selected by end of WOR
Fall Board #3 Meeting (must be completed mid-Sept to mid-Nov)
- ~Sept 1, board members vote on dates for meeting
- 10 days prior to Board meeting, Secretary-Treasurer sends notice and agenda to Board members.
Fall Member #3 Meeting (must be completed mid-Sept to mid-Nov)
- ~Sept 1, board members vote on dates for member meeting
- 15 days prior to member meeting, president adds date/time to website
- Electronic meeting
Officer Voting
- By Nov. 1, the nominating committee must publish to the website the list of nominees
- By Nov. 1, officer voting period and officers must be announced on website
- Voting period must last 15 days, starting 15 days after announcement
- Names can be added to the vote up to the last day of the electronic voting period
Winter Member Meeting #4 and Holiday Party
- 15 days prior to first full weekend of Dec. publish dates for for Officer Meeting/Holiday Party
- First full weekend in Dec., Officer Meeting and Holiday party
- Final officer voting at meeting
- New officers assume role
Should a vote be required for other reasons:
- Vote announced on website 15 days in advance, to include voting period, the issue at hand, and the voting mechanism
- 15-day voting period
